Why businesses miss contract renewals

Missed renewals are almost always process problems — not people problems. Here are the four most common causes and how to fix them.

Missed renewals rarely happen because someone is careless. They happen because the process depends on someone remembering — which is a fragile system.

1. No one owns the contract

If the owner is "the team", nobody feels personally responsible. Every contract should have a single named owner.

2. The renewal date isn't tracked centrally

If the only place the renewal date lives is inside the signed PDF, it will be missed. Dates belong in a register, not in a document.

3. There's no notice-period buffer

A renewal date is not the same as a decision date. Track the notice period separately and set your review date before it.

4. No structured review

Without a review process, teams default to "do nothing" — which usually means auto-renew.

Fixing it

  • Assign one owner per contract
  • Store renewal dates in a register
  • Track notice periods explicitly
  • Schedule a review date 30–60 days before notice is due
