Contract Management
Contract management: spreadsheet versus software
Spreadsheets work initially. Here's when they start to fail — and what to look for in dedicated contract management software.
Where spreadsheets work
For a small business with a handful of contracts and one person maintaining them, a spreadsheet is genuinely fine.
Where spreadsheets stop working
- Multiple maintainers. Two people editing the same sheet quickly produces two versions of the truth.
- No notifications. A spreadsheet doesn't tell you a renewal is 30 days away.
- No ownership. A "Owner" column is not the same as an accountable person.
- No history. Once a cell changes, the previous value is gone.
- No linking. Contracts are not connected to suppliers, documents or reviews.
What good software gives you
- A structured register with validated fields
- Renewal alerts and traffic-light urgency
- Named owners with accountability
- Full change and review history
- Documents attached in-context
The switching moment
Most businesses realise they've outgrown a spreadsheet the first time they miss a renewal or lose visibility over an important supplier. The best time to switch is before that happens.
