Supplier management: spreadsheet versus software

Spreadsheets are the default. Here's when they start to fail — and what to look for in dedicated supplier management software.

Where spreadsheets work

For a small business with a short supplier list and one person maintaining it, a spreadsheet is genuinely fine.

Where they stop working

  • Multiple maintainers. Two people editing the same sheet quickly produces two versions of the truth.
  • No ownership signal. A cell containing a name is not the same as an accountable person.
  • No history. Once a cell changes, the previous value is gone — including who changed it and why.
  • No relationship context. Contracts, documents and reviews live somewhere else.
  • No notifications. A spreadsheet won't remind you about a review.

  • Named owners and accountability
  • Contracts, renewals and documents linked in-context
  • Full change and review history
  • Scheduled reviews and alerts
