What systems should every law firm document?

A minimum operational documentation list for every NZ law firm — the systems that must be in the register even if nothing else is.

If a firm only ever documents nine systems, these are the nine.

  1. Practice management — OneLaw, Actionstep, LEAP or Smokeball.
  2. Document management — NetDocuments, iManage, SharePoint or shared drive.
  3. Trust accounting — the compliant trust solution in use.
  4. General accounting — usually Xero.
  5. Email and identity — Microsoft 365 or Google Workspace.
  6. Telephony — cloud or traditional phone platform.
  7. Cybersecurity — endpoint protection, MFA, email filtering.
  8. Backup and recovery — provider, scope, restore process.
  9. Internet and hosting — the connectivity everything else depends on.

For each: name, provider, internal owner, supplier contact, contract reference, renewal date, cost and criticality. Use the NZ Law Firm Technology Stack Checklist as your starting template, and manage the register in AvenorOps.
